Settings

Every card on the Settings page in order: account, ship, ship’s time, plan, phones, vessel, crew, languages, backups, videos and reset.

What it is for

Settings is the one page for everything about you, your ship and this phone: your account and sign-in, the ship account and its crew, ship’s time, your plan, the phones you use, the vessel profile the checklists are built from, the languages the app and the AI answer in, backups, the training videos kept on the phone, app updates and the reset button.

The page is a list of cards, top to bottom. Most changes save by themselves on this phone as you make them. The steps below walk through the cards in the order they appear on screen.

Who can use it

Everyone, on every plan including Free. Some cards do more on a paid plan (sync between your devices, cloud backup, e-mail reminders). Parts of the Ship card are for the Master only. The Ship card, "My phones", "Export my server data" and "Delete my account" need internet; everything else works offline.

Step by step

  1. "Account": your name, e-mail and a status pill (for example "AI on", "Free AI trial" with the days left, or "AI off — free core only"). The row "My data on all my devices" shows the sync state with a "Sync now" button on a paid plan ("Paused — free plan" with "See paid plans" on Free). The row "Photos and voice notes" says whether they are on this device only (Free) or synced to the cloud, with a storage bar for your own files and one for the ship. Buttons: "Export my server data" (downloads your server record as a file), "Refresh status" and "Log out".
  2. "Delete my account" (bottom of the Account card) asks twice. It erases your record on the server: profile, sessions, payment references and the copy that keeps your devices in sync. The data on this phone stays unless you tick "Also erase all local vessel data on this device" — there is no undo, so export a backup first.
  3. "Ship account": with no ship yet you choose "I’m the Master" (set up the ship by IMO number, call sign, name and flag, then "Set up this ship — I am the Master") or "I have a join code" (type the 8-character code and tap "Join ship"). It also shows the "Work together on this ship" box for crew groups on personal plans and a link "How a ship joins SeaReady — the 4 steps". Once you are on a ship the card shows the ship, its licence, "People aboard", "Ship devices", and for the Master the "Join codes", "Company link code" and handover controls, plus "Leave ship".   4. "Ship’s time": pick "Ship’s time zone now" and add each night the clocks change ("Clock change" date, "Clocks retarded 1 h (25 h day)" or "Clocks advanced 1 h (23 h day)", then "Add"). Rest hours use ship’s time; everything else is dated by the phone’s clock. On a ship licence only the Master can change it; everyone else sees it read-only. See the "Ship’s time" page.
  5. "Plan & billing": your access right now, the "Monthly" / "Yearly — pay less" switch, checkout for Crew and Officer Pro, the ship licence if you are the Master, "Cancel …" and "Ask for a refund". See the "Plans & billing" page.
  6. "Double AI": shown while you have a plan or trial. It tells you today’s AI questions a day and offers to double them for 30 days; "Get Double AI" opens the contact form with the subject filled in, and it is switched on by hand after payment.
  7. "My phones": your account works on up to 2 phones or computers. Each phone is listed with "Last used"; "This phone" marks the one you are on. Tap "Sign out this phone" on an old phone to free its place. On a ship licence your place on the ship moves with you. Offline the list cannot load — tap "Try again" when you have a connection.
  8. "Switch vessel / rank": "Ship name", "IMO" (exactly 7 digits with a valid check digit, or leave it blank), "Flag", "Ship type", "Your rank", "Next inspection type", "Expected inspection date", "Photo cycle start", and for tankers under SIRE and CDI a "Second inspection type" and "Second inspection date". The box underneath names the inspection regime for that ship type. Tap "Save changes" — changes are also saved as you type. Switching ship type swaps only the inspection module; vault, drills, rest hours and handover data are kept.
  9. "Manage crew": the crew list used by rest hours, drills and the certificate vault. Tap the pencil to edit a name or rank, the bin to remove someone (their document entries go too; rest-hours and drill records that mention them stay), or "Add crew member".
  10. "AI status": "AI connected" when the AI can be reached, "Offline — built-in guidance active" when not, and a note if your trial has ended. Nothing to set up.
  11. "App language": tap one of the six languages. Menus and common buttons change; checklists, regulations and inspection content stay in English. Choosing a language here also sets the AI answer language.
  12. "AI language": "AI answers come back in" — choose from ten languages. Used by the mock inspector, the orals examiner and the "Explain this" buttons; regulation names stay in English in brackets. Kept on this device only.
  13. "Company procedures": add your company’s SMS so AI answers can use it. "Import .txt / .md", or paste text with a name and tap "Add pasted text". The "Use in AI answers" switch turns it on or off. The text stays on this device; only the few most relevant paragraphs go with a question. The store holds about 2 million characters and is included in your backup file.
  14. "Automatic cloud backup" (paid plans): type a "Backup passphrase" of at least 8 characters twice and tap "Turn on cloud backup". Then "Back up automatically every day" is on, with "Back up now", "Change passphrase" and "Restore from cloud…" → "Restore this copy". The last 3 copies are kept. Photos and voice notes are not in the cloud copy. If you forget the passphrase nobody — not even SeaReady — can open the backup.
  15. "E-mail reminders" (paid plans): switch on "E-mail me before things are due" to get an e-mail 30, 7 and 1 days before a ship certificate or one of your documents expires, the 6-monthly photo set is due or your contract ends. "Show what would be sent" lists the titles and dates — nothing else is sent.
  16. "Backup & storage": the bar shows the device storage this app uses. "Export full backup (.zip, incl. photos)" downloads one file with your data, photos and voice notes. "Import backup" opens a .zip (or an older .json) and REPLACES everything on this phone with it — you are asked to confirm.
  17. "Training videos on this device": "Download automatically when online", then "Only my ship type" (recommended) or "All videos", with the count and size of each. "Download now", "Remove downloaded videos" and "Watch the videos". The videos live inside the app’s own storage so they play with no signal; you will not see them as files.
  18. "App updates": the version and build date, and "Check for updates". New versions download by themselves when the ship has a signal; you are asked before the app reloads and your data is kept.
  19. "Danger zone": "Erase everything and start over" wipes the vessel profile, checklist answers, vault, crew, rest hours, drills, photos and observations from this device. No undo — export a backup first.

Tips

  • Export a full backup before dry-dock, before you change phone and before you tap anything in the Danger zone. The .zip opens in any zip tool, so photos can be pulled out on a PC.
  • On a satellite or pay-per-MB connection, turn automatic video download off and tap "Download now" on Wi-Fi in port.
  • Write the cloud backup passphrase down somewhere safe off the phone. It is never sent to SeaReady.
  • Master: to free a seat for someone going on leave use "Free seat" on their phone; "Remove from ship" keeps them out until you tap "Allow back".

Limits and good to know

  • Free plan: sync between your devices is paused, photos and voice notes stay on the device that took them, and cloud backup and e-mail reminders are locked. The backup file still works for moving to a new phone.
  • Phones sync through the SeaReady server — over the ship’s Wi-Fi whenever it has internet (VSAT or Starlink) and in port. With no internet, changes are held on the phone until the connection returns.
  • Your account works on up to 2 phones or computers. "My phones", the Ship card, account export and account deletion need a connection.
  • The AI language and the company procedures are kept on this device only. The app’s own screens are translated for menus and common buttons only; inspection content stays in English.
  • Deleting your account does not delete the data on this phone unless you tick the box; erasing this phone does not delete your account.
