Offline and sync

What works with no signal, what needs internet, how your plan behaves at sea and how your devices and the ship file stay in step.

What it is for

SeaReady keeps your data on the phone, so it works at sea without a signal. This page explains what needs internet, how your plan behaves while you are offline, and how your own devices, the ship’s file and your photos and voice notes stay in step.

All syncing goes through the SeaReady server: over the ship’s Wi-Fi whenever it has internet (VSAT or Starlink at sea, or in port). With no internet, each phone keeps working and holds its changes until the connection returns — the app shows them as waiting, never as synced. Phones cannot yet sync with each other over a ship network that has no internet.

Who can use it

Offline use: everyone, every plan. Sync between your own devices, photo and voice-note sync: the trial and the paid plans. Sharing the ship file between phones: Officer Pro or a ship licence; Crew and Free keep it on the phone.

Step by step

  1. Work as normal offline: checklists, rest hours, certificates, drills, calculators and saved training videos all work with no signal. Only the AI, the weather forecast, signing in, syncing devices, sharing the ship file and messages need a connection; they catch up when you are next online.
  2. Watch the cloud icon in the phone header. A tick means "Synced with your other devices"; a turning arrow means syncing; a crossed cloud means "Offline — saved on this phone, syncs when back online" or "Sync problem — tap for details"; a plain cloud means sync is part of the paid plans. Settings → Account shows the same under "My data on all my devices" with a "Sync now" button.
  3. Sync your own devices: sign in with the same account on up to 2 devices. A change on one shows on the other within about a minute while both are open; edits made offline catch up later.
  4. Share the ship file: on a ship account with Officer Pro or a ship licence, the ship’s inspection file (checklists, certificates, observations, drills, PIQ, handover and more) follows the ship’s IMO number across phones and crew changes. The app pulls when it opens, pushes your edits a couple of minutes later, re-checks every 15 minutes and again when the connection returns.
  5. Check the small badge on each photo and voice-note thumbnail: a phone icon means "On this device only", an upload cloud means "Uploading — waiting for internet if offline", a cloud means it is in the cloud for your other devices and, on a ship, the ship’s people.
  6. Update when asked: when a new version has downloaded, a bar says "Update ready." — tap "Update now" and the app reloads with all your data kept. Settings → App updates has "Check for updates".

Tips

  • Two phones changed the same item? Edits on different items both survive. For the same item the newest change is kept and a notice names the item and who changed it on the other phone — check it if needed.
  • Export a backup regularly: Settings → Backup & storage → "Export full backup (.zip, incl. photos)". It carries photos and voice notes too and restores on any device. On the free plan it is the way to move to a new phone.

Limits and good to know

  • Your plan at sea: a trial ends on its end date even with no signal, and the app tells you. A paid plan keeps working offline for 7 days past its paid-until date, then drops to free limits until the phone reconnects; nothing is deleted and renewing brings it back at once. A phone must connect at least once every 30 days or paid extras pause. Back online, the server’s answer replaces all this immediately.
  • Normal ship’s clock changes are never a problem. Only a phone clock set back by more than 2 days past the latest time the phone has seen makes the app freeze at that last date and ask you to set the correct date and time.
  • Photos and voice notes: each file uploads whole, at most 5 MB (bigger photos are shrunk first). Storage is 500 MB per person and 2 GB per ship. When it is full, new files stay on the phone; the Master can delete old ship photos to make room.
  • Sync between your own devices needs your data to be under 3 MB; if it is too big the app says so and asks you to move it with a backup file.
  • On a licensed ship, answers in chapters your ship rank does not own are not saved to the ship file — the app puts the ship’s value back and tells you who may change them.
  • A device removed from the ship (or that leaves it) loses the ship’s file; personal records stay.

Use it in the app

The same page sits inside SeaReady under Help → Handbook and behind the “?” in the screen’s header, and it reads offline at sea.
