Set up or join your ship in Settings: join codes, ranks and rights, seats, handover, the company licence and crew groups on personal plans.

What it is for
The "Ship account" card in Settings is where a ship exists in SeaReady: one record per IMO number, kept across crew changes, with exactly one Master. The Master issues join codes, sets each person’s rank and editing rights, looks after the phones on the ship, hands over when signing off and links the ship to the company licence.
Without a company licence, people on the same ship can still work together on personal plans as a crew group: a count of others aboard is shown (never who), one person starts the group, the others ask to join, the group chooses a Master, and each person switches on, item by item, what they share.
Who can use it
Everyone signed in. Setting up a ship, making codes and buying or linking the licence: the Master. Joining, adding a phone and leaving: anyone. The card needs a connection — offline it says so, and everything on the phone keeps working.
Step by step
- Master: in Settings tap "I'm the Master", enter the IMO number (7 digits, as on the Certificate of Registry), call sign, ship name and flag, and tap "Set up this ship — I am the Master". This starts the 14-day ship trial — one per IMO, ever; a person can start at most two.
- Master: under "Join codes" choose the "Rank for the new crew member" or leave "Set it later (several people)", then tap "New crew code". A code with a rank is for one person; a code without one lets up to 10 people join. Codes last 72 hours and can be revoked. "Handover code" makes whoever enters it the new Master — single use, 7 days.
- Crew: tap "I have a join code", type the 8 characters and tap "Join ship". The Master sets your rank, which decides the checklist chapters you can change.
- Master: in "People aboard" tap "Rights" to set a rank and tick extra chapters under "Also allowed to edit"; "Make Master" then "Hand over" passes the ship to someone aboard; the remove icon and "Remove from ship" keeps someone off the ship until you tap "Allow back".
- Under "Ship devices", tap "Add this device" if the card says "This device is not on the ship". Master: "Free seat" takes a phone off the ship but keeps the person on the crew — they add a phone again themselves while a seat is free. Phones unused for 30 days are marked.
- Master: under "Company link code" type the 8-character ship link code the office received and tap "Link". Or buy it yourself: the plan card in Settings shows "Ship licence — …" monthly or yearly and "Extra people" in packs of 10.
- Signing off: tap "Leave ship" and confirm. A Master who is not alone must hand over first.
- Personal plans: with your IMO set under Vessel, tap "Start working together" or "Ask to join" (the group taps "Let in"). Under "Sharing with my ship" switch on each item or tap "Share all"; under "The Master" tap "Propose …", another person taps "Confirm …", and the chosen person taps "Accept — I am the Master".
Tips
- Hand over before you sign off, with "Make Master" or a handover code. If the Master has already left, the office can make someone Master from the shore page, or send a "Code for new Master" to someone not yet aboard.
- Phones sync through the SeaReady server — over the ship’s Wi-Fi whenever it has internet (VSAT or Starlink) and in port. With no internet, changes are held on each phone until the connection returns.
- "Free seat" is for someone going on leave; "Remove from ship" is for someone who should not come back without your say-so.
Limits and good to know
- A ship licence covers 10 people and phones; each extra pack of 10 costs $29.99 a month or $359.88 a year. The licence is $99.99 a month or $999.99 a year per ship, paid by the Master or by the office. AI under it works only on phones that are on the ship.
- A crew member’s rank can never be "Master" — only a handover changes the Master. People who join with a general code are "Crew (rank not set)": they read every checklist but change none until the Master sets their rank.
- A ship link code is valid for 14 days; the office makes a new one on the shore page if it runs out.
- Crew group: nothing is shared until you switch it on, and names are shown only between people who opted in. Sharing the ship file needs Officer Pro or a trial. Stopping removes what you shared from the Master’s view unless you ticked that the Master may keep it. When the office later buys a licence, everyone sees "… now has a ship licence": sharing becomes automatic and the Master and shared records are kept.
- Leaving removes the ship file from your phones; you keep your own records, and the Master keeps a copy of your rest-hour record and training progress marked as left. The office sees numbers, dates and the names and ranks aboard — never answers, notes, photos or personal records.
