Photo repository

Keep the OCIMF photo set current: 36 numbered positions (42 for shuttle tankers), a 6-month refresh cycle, shot guides and a self-audit.

What it is for

The "Photo Repository Manager" keeps the photos a tanker uploads to the OCIMF photograph repository before a SIRE 2.0 inspection: one card per official position, numbered and ordered as OCIMF does. 33 core positions plus 3 for your cargo type make 36; shuttle tankers with bow loading add 6 for 42. Gas carriers pick the template for their tanks (LPG pressurised 50–52, LPG refrigerated 60–62, LNG membrane 70–72, LNG Moss 80–82).

Ships outside SIRE use the same page as a dated photo record of what Port State Control and their own scheme look at: the core positions, less the hose-crane, manifold and pipe-rack views only liquid-cargo ships have.

Every photo ages against a 6-month cycle. Each card shows "Current", "Expires < 30 days", "Overdue" or "Missing", and the dashboard warns when photos are about to go out of date.

Who can use it

Everyone on every plan can add, view and grade photos. Printing the submission set is on paid plans, the trial and ship licences. On a ship licence the photos are part of the ship file, so the whole ship works from one set.

Step by step

  1. Set the "Cycle started" date at the top so the app can tell you when the 6 months run out.
  2. Tankers: tick "Shuttle tanker — bow loading fitted (+6)" if it applies. Gas carriers: choose the "Photo template" for your containment type.
  3. On each card tap "How to shoot this" for the angle, what must be in the frame and the mistake that makes the photo worthless; tap "Lesson" for the one-minute "See it like the inspector" lesson.
  4. Tap "Capture photo" (or "Add photo") and take or choose several pictures — a cover shot, details and defect close-ups. The card’s date comes from the camera date in the newest photo; with none, the file date is used and marked "date unknown".
  5. Tap a thumbnail to enlarge it, write a caption ("Caption — what does this photo prove?") or delete it.
  6. Grade the card honestly under "Representative? (self-audit)": "Representative", "Representative with concern", "Reasonably representative" or "Not representative (= negative observation)".
  7. Tick "Not fitted on this vessel" for equipment the ship does not have, so the position counts as satisfied.
  8. Tap "Add card" for anything the official list does not cover — a known defect, a repair in progress — and tap "Export submission set" to print the contact sheet.

Tips

  • Photos saved under SeaReady’s older list (bridge, galley, CCR and similar) are kept under "Extra photos (not in the OCIMF set)" and included in reports; if one shows the same view as an official position, move it there with the "Same view as an OCIMF position? Move it…" box.
  • If a card tells you a photo is older than 6 months, retake it after fixing the condition — don’t paper over it.

What the inspector looks for

  • SIRE 2.0 compares the ship the inspector walks onto against the photos you declared. A missing or unrepresentative photo is itself a negative observation, and where the real ship looks worse than the photo, expect a human-factors observation about the declaration.
  • The rules in the banner on the page: colour, in focus, landscape, JPEG or PNG under 10 MB, no people in the frame, one representative photo where equipment is duplicated, a new set about every 6 months.

Limits and good to know

  • The contact sheet ("Photo Submission Set") prints one cover photo per position in OCIMF order with sign-off lines. Its "Print / Save PDF" is on paid plans; on the Free plan the button is locked and the browser’s own print shows a notice instead.
  • Each photo file must be under 15 MB; convert iPhone HEIC files to JPEG first. If the phone’s storage is full, export a backup and free up space.
  • Free plan: photos stay on this phone only. Paid plans and ship licences upload them to the cloud when there is internet, so your other devices (and, on a ship, the ship’s people) can see them; the badge on each thumbnail shows "On this device only", "Uploading" or "In the cloud".
  • The app does not upload anything to the OCIMF portal. Full-resolution photos stay in the app; the printed sheet uses reduced copies.
